About this Opportunity

Our Foster Creek Facility is currently looking for an Administrative Assistant. This is a contract role. Reporting to the Field Manager, your primary focus will be to provide comprehensive administrative support to the asset leadership teams at Foster Creek. A solid background in office administration fundamentals, including data entry, creating weekly reports and other essential duties is required and will contribute significantly to the success of the team.

Work Environment

This is a contract position working a shift of 7 days on 7 days off. Foster Creek is located 90 minutes North of Cold Lake/Bonnyville, Ab area. Foster Creek has full service camp facilities or daily transportation to site. Depending on your place of residence and your shift rotation, bus and/or air transportation to/from site is offered from designated departure points in select locations. Foster Creek is serviced by flight hubs in Calgary and Edmonton as well as bus transportation to the sites from La Corey, Bonnyville, and Cold Lake, AB.

Responsibilities

  • Provide overall administrative support to the Plant Operations staff as required
  • Preparation, organization and support for site meetings which can include providing computer support, preparation of printed materials, documenting meeting minutes, preparing electronic presentations, photocopies and associated filing/retention of related materials and documents
  • Act as the main point of contact for all inbound requests through telephone calls, in-person customer service as well as distribution of incoming and outgoing physical mail
  • Ensure functional supply and stock of office consumables are available, including office grocery orders, and stationary supplies
  • Act as the point of contact for office support systems such as IT, Shared Services and other groups in Cenovus when required
  • Other associated requirements can include handling delegations of tasks related to workforce requests within the Kronos scheduling software such as Open Invoice approvals, Plant operations procedure management, processing Service Now requests for new hires, processing of payroll approvals for payment and creating workforce status reports within the Kronos application
  • Act as the office building Fire Warden
  • Plan team building activities as requested
  • Assist with office moves as required
  • Assist in creating a cohesive team atmosphere as well as providing support to the various teams and administrators within the Operations group where necessary

Qualifications

  • Must be legally entitled to work in Canada
  • A minimum of 2 years of experience as an Administrative Assistant, with previous exposure to a large oil and gas company considered a strong asset
  • Proven experience to effectively handle and prioritize competing demands with short deadlines
  • Demonstrated communication and interpersonal skills
  • Proficient use in MS Office applications including: Outlook, Word, PowerPoint, and Excel
  • Exposure to the Kronos software application or other scheduling software is considered an asset, but not required
  • Valid Class 5 Drivers License
